Introduction
This article explains how to let employees add notes when they clock in and clock out on the POS Time Clock screen.
You will learn how to turn on the Note feature in POS Dashboard and how staff can add, edit, and view their notes directly from the Time Clock.

1. How Clock-In / Clock-Out Notes Work
- When enabled, a Note panel appears on both the Clock In and Clock Out screens.
- Tapping the Note panel opens an Add Note dialog where the employee can type their note.
- The same note is linked to that time entry and can be viewed later in reports and payroll tools.
- Notes are optional – employees can clock in or out even without entering a note.
💡 Example use cases: “Arrived early for prep”, “Staying late to cover shift”, “Left early for doctor appointment”.
2. Enable the Note Field in POS Dashboard
You must enable the configuration at the store level before notes appear on POS.
Steps
- On the back-office computer, open BLogic POS Dashboard.
- Click Settings on the top menu.
- In the left menu, select Configurations.
- Click the Time Clock & Pay tab. Screenshot placeholder:
- In the Advance section, find the checkbox:
“Show a note field on the Clock In / Clock Out screen”. - Check this box to enable the feature for the store.
- Click Save at the bottom of the screen.

⚠️ Note: This setting affects all POS stations for that store. If you manage multiple stores, repeat these steps for each store as needed.
3. Add a Note When Clocking In
Once the config is enabled, employees will see a Note panel on the Time Clock screen.
Steps
- On the POS, open the Time Clock screen as usual.
- Enter your employee ID and to go to the Clock In screen.
- Tap the Note (Optional) panel.
- The Add Note dialog opens.
- Type your note in the text box.
- Tap Save to store the note and close the dialog.
- You are returned to the Clock In screen. The Note panel now shows a preview of your note.
- Tap Clock In to complete the clock-in. The note is saved with this time entry.


✅ Tip: You can open the Note dialog again before clocking in if you want to edit or clear the note.
4. Add or Update a Note When Clocking Out
You can also add a new note or update an existing note at the end of your shift.
Steps
- On the POS, open the Time Clock screen and enter your employee ID.
- The Clock Out screen appears, showing your In time and break buttons (if configured).
- Check the Note panel:
- If a note was added at Clock In, you will see the preview of that note.
- Tap the Note panel to open the Add Note dialog.
- Edit the note (or add a new one), then tap Save.
- Tap Clock Out to finish the shift. The latest version of the note is saved with that time entry.

🔁 The note is shared for that time entry. Updating the note at Clock Out overwrites the previous note for the same shift.
5. Where the Note Is Shown
After employees add notes on POS, managers can view them in back-office tools:
- POS Dashboard – Manage Time Clock
- A Note column and note field in the detail view show the saved text.

- Reporting on BLogic View (Time Entries)
- Note is included as a separate field to help explain unusual hours or exceptions.


ℹ️ The exact reports available may vary by product configuration. If you don’t see the Note column, contact your administrator or Support.
6. FAQ
1. Is the note required to clock in or clock out?
No. The note is optional. Employees can clock in and out without entering a note unless your internal policy requires them to use it.
2. Does each time entry have one note or separate notes for in and out?
Each time entry has a single Note field shared between Clock In and Clock Out.
If an employee updates the note at Clock Out, that updated text replaces the earlier note for the same shift.
3. Why don’t I see the Note panel on the POS Time Clock?
Most commonly, the configuration is not enabled.
Go to POS Dashboard → Settings → Configurations → Time Clock & Pay → Advance and check “Show a note field on the Clock In / Clock Out screen”, then save and sync POS.
4. Can managers edit or add notes later?
Yes. Managers with access to Manage Time Clock in POS Dashboard can open a time entry and edit the Note field.
The updated note will appear in POS Dashboard, reports, and future exports.
