How to Use New Features in Sensa Booking (Dashboard & Online Booking)

Introduction

This guide walks you through six new improvements in Sensa Booking that make managing appointments, staff, notifications, and policies easier. You’ll learn how to hide non-bookable staff, add multiple notification emails, show service images, search services quickly, configure fixed or percentage cancellation fees, and set Day-off periods.

1) Hide Staff from the Booking Calendar

Hide certain staff members from calendars and staff pickers (useful for admins or staff who don’t take public bookings on Sensa Dashboard).

Steps

  1. Dashboard → Staff Member.
  2. Open the staff profile (Create or Edit).
  3. In Booking, turn off “Available for booking on Dashboard.”
  4. Click Save.

Result:

  • The staff member no longer appears on the calendar or in staff lists inside appointment-creation dialogs.

Note: This setting only controls visibility/selection for booking. It does not delete the staff member.


2) Add Multiple Salon Notification Emails

Send automated emails to more than one address.

Steps

  1. Dashboard → Setup → Notifications → Salon notifications.
  2. Under Where you’d like to receive notifications? click Add email to insert additional fields.
  3. Enter all emails and Save.

Tip: Use team or department emails (e.g., frontdesk@, owner@) so multiple people stay informed.


3) Display Service Pictures/Icons

Help staff and clients recognize services faster with thumbnail images.

Upload on Services

  1. Dashboard → Services → Add Service / Edit Service.
  2. In General, click Service Photo and upload an image.
  3. Save.

Show on Client Booking Page

  1. Dashboard → Setup → Booking → Online booking.
  2. In Booking page, enable Show service images on Booking page.
  3. Clients will now see the thumbnails on the online selection page.

Warning: Use clear images. Keep file sizes small for faster load.


4) Search Services Quickly

Find services without scrolling long lists. Category chips display counts that match your search term.

Steps

  1. Dashboard → Services.
  2. Use the Search bar (top right) to type a keyword (e.g., “Manicure”).
  3. Results appear grouped by category; the category list shows matching counts.

5) Use Fixed or Percentage Cancellation Fees

Configure Late cancellation and No-show fees as either Percentage (%) or Fixed Amount ($) with dynamic labels and client messaging.

Configure in Setup

  1. Dashboard → Setup → Booking → Online booking → Cancellation policy.
  2. For Late cancellation fee and No-show fee:
    • Choose Percentage (%) or Fixed Amount ($).
    • Enter the value.
  3. Save.

What clients and staff see

  • Review & Confirm page (client): Policy text reflects the correct type and value (%, $).
  • Client Manage Appointments dialogs: Late cancellation text shows the correct fee type/value.
  • Dashboard dialogs: Late Cancellation & Did Not Show show the correct type/value.

Note: If you use both types (e.g., Late = %, No-show = $), each message updates independently.


6) Create Day-off Periods

Block bookings for specific dates/times without changing global business hours.

Steps

  1. Dashboard → Setup → Business hours.
  2. Scroll to Days Off and click Add More.
  3. Enter:
    • Name (e.g., Thanksgiving)
    • Start Date / Start Time
    • End Date / End Time
  4. Save.

Outcomes

  • No existing appointments: Days Off created immediately.
  • Existing appointments: You’ll see Confirm Days Off with affected bookings. Choose:
  • Edit appointment (reschedule), or
  • Cancel appointments (bulk).
  • If you cancel, select a cancellation reason, confirm, and clients are notified.

Tip: Create multiple blocks if the closure spans non-continuous periods.

What clients and staff see

  • Client Online Booking: Dates/times inside a Day Off are unavailable (slots hidden or marked unavailable).
  • Dashboard (staff): You cannot create appointments that overlap the Day Off window.

FAQ

1) Does hiding a staff member remove their existing appointments?
No. Existing appointments remain. The staff is only hidden from the calendar view and staff selectors for new bookings.

2) How many emails can I add for salon notifications?
There isn’t a strict limit for typical use. Add the addresses you need and click Save.

3) Can I mix fee types for Late cancellation and No-show?
Yes. Each policy can be configured independently (e.g., Late = 10%, No-show = $30).

4) Will clients see service images immediately after I upload them?
Yes—once you enable Show service images on Booking page under Online booking.

5) What happens to appointments that overlap a new Day Off?
You’ll be prompted to reschedule or cancel them in bulk. If cancelled, clients are automatically notified.
